Compensation range: $70,000 - $80,000 annually 

 

The base salary will be determined based on your location, experience, and the pay of employees in similar positions. Actual total compensation will be dependent upon the individual's skills, experience, and qualifications.

Position Summary

Location:  Santa Clara, CA (on-site)

Hours: Monday - Friday, Day shift 

 

This role requires a blend of analytical precision, a deep understanding of labor dynamics, and the communication skills to bridge the gap between initial client concepts and final installation. You will manage everything from high-level budgetary estimates and sourcing to the granular logistics of weekly installation schedules. You’ll thrive in this position if you enjoy balancing client priorities, vendor lead times, and labor requirements to ensure every workspace is delivered to perfection.

 

Responsibilities:

1. Scope & Quote Development

  • Calculate man-hour requirements for furniture installation based on scope of project and product specifications to ensure project profitability. 
  • Provide early-stage "Rough Order of Magnitude" (ROM) estimates to help clients establish realistic budgets for both products and installation labor.
  • Curate and price furniture, art, and decor elements, acting as the primary point of contact for third-party vendors to verify lead times.

2. Internal & External Leadership

  • Act as the primary point of contact for scope clarifications, budget breakdowns, and weekly status reporting.
  • Review client work orders and delegate to Furniture Designers when specialized layouts or specifications are required.
  • Collaborate with Project Managers, Installers, and Design teams to verify that proposed scopes are logistically feasible.
  • Communicate with third-party vendors as needed to verify lead times and pricing.

3. Logistics & Client Success

  • Plan and manage the weekly "Service Day," coordinating installation teams for delivery and assembly.
  • Juggle multiple client requests simultaneously, ensuring no "tail-end" tasks are missed and all projects reach 100% completion.
  • Maintain an up-to-date database of labor rates and material costs, ensuring accuracy
  • Conduct post-project "look-backs" to compare estimated costs vs. actual spend, refining future accuracy.
  • Provides accurate and timely estimates/quotes for services in compliance with departmental pricing guidelines

 

Qualifications:

 

Education/Experience

 

  • 3-5 years in estimation, project coordination, or logistics (preferably in the furniture, commercial interiors, or construction industries).
  • Proficiency in Google Suite, Microsoft, Smartsheets, and AppSheet
  • Excellent communication skills with the ability to explain, with clarity, labor variances
  • Obsessed with details.
  • Sense of urgency and outstanding customer service abilities
  • Strong organizational and time management skills 
  • Proven ability to manage complex schedules involving multiple teams and third-party vendors.
  • Knowledge of furniture industry and products
  • Ability to work in situations which are fast paced, deadline driven, with constant interruptions and changing priorities
  • Ability to work with little to no supervision
  • Collaborate in diverse teams to foster productive outcomes

 

Physical Requirements

  • Ability to move distances within and between offices/warehouse
  • Seeing, color perception, hearing/listening

 

Working Environment

Regularly works alone or may work with others, has both face to face and over the phone contact with others, may work around noise (forklifts, trucks and power tools) and mechanical equipment, moving objects and/or dust/dirt
