Compensation range: $24-$28/hr

 

The base salary will be determined based on your location, experience, and the pay of employees in similar positions. Actual total compensation will be dependent upon the individual's skills, experience, and qualifications.

 

Location: Seattle, WA,  or Remote

Position Summary

The Project Close Out Coordination Level I role is responsible for supporting the accurate and timely completion of project close-out activities. This entry-level position ensures financial and operational integrity by auditing documentation, coordinating with internal teams, and maintaining compliance with company standards. The ideal candidate is detail-oriented, organized, and comfortable working cross-functionally with multiple teams.  

 

Key Responsibilities:

  • Audit & Verification
    • Review orders and invoices for errors, discrepancies, or missing information (e.g., tax codes, processing codes, sales codes, product details).
    • Verify final invoices and ensure alignment with project documentation.
  • Communication & Coordination
    • Work with project coordinators to resolve discrepancies or clarify order details.
    • Serve as the point of contact for vendor partner AP inquiries before escalation to AP or Supervisors.
  • Order & Project Management
    • Cancel orders or individual lines as needed.
    • Support project order clean-up and ensure all documentation is complete.
    • Assist in reviewing and closing out completed orders, especially backlog from prior periods.
  • Financial Support
    • Collaborate with Accounts Payable for cost verification and request expense reports when necessary.
    • Process and track credit memos related to project orders.
  • Project Close-Out
    • Close out core orders and lock projects upon receipt of final invoices.
    • Generate and support Project Invoice Packages for final billing.
    • Ensure projects are closed accurately and in a timely manner.

Knowledge, Skills and Abilities

  • Associate Arts degree (A.A.) or equivalent from a two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience to fulfill essential job duties.
  • Attention to detail; ability to prioritize workload; ability to work under pressure; product/vendor knowledge; purchasing and/or invoicing background preferred.
  • Complex reading and writing skills, basic math skills; judgment/decision making; analysis/comprehension.
